Terms of service
The agreement between your practice and us for a hosted Simple Surgery website. Plain English, and short enough to actually read.
Last updated 6 August 2026
1.Who you are contracting with
Leathen Healthcare IT Solutions Ltd, a company registered in England and Wales under number 10345413, with its registered office at The Haven, 2 Awsworth Lane, Cossall, Nottingham, NG16 2RZ, England. We trade as Simple Surgery.
In these terms, "we" and "us" mean Leathen Healthcare IT Solutions Ltd. "You" means the GP practice that buys the service. Contact us at [email protected].
We are not registered for VAT, so no VAT is added to our prices. If that changes we will tell you at least 30 days before it affects your renewal.
2.What we provide
A hosted practice website built on the Simple Surgery template, together with:
- Hosting, TLS certificates and content delivery
- An admin panel your own staff use to edit the site
- Your domain connected, or a new one registered on your behalf
- Automatic national NHS news on your news page
- Template updates as NHS England guidance changes
- Email support during UK working hours
We provide the platform and the draft wording. You remain responsible for what your website says. The template gives you a page and starting content for the things practices are expected to publish, but only your practice knows your services, your staffing and your local arrangements. Nothing we supply is legal, clinical or contractual advice, and buying it does not transfer your obligations to us.
The template itself is separate and free. It is published under the MIT licence and you may run it yourself at no cost. These terms cover the hosted service only.
Where we handle content your practice publishes, we do so as your data processor. Those obligations are set out in our data processing agreement, which is a schedule to these terms and forms part of them.
3.Your password
Your website is protected by a single password shared by everyone at your practice who edits it. We send it to the address you gave us when you bought the service.
Because it is shared, you agree to:
- Treat it as a practice credential, not a personal one, and keep it out of documents patients or contractors can reach
- Not reuse it for any other system
- Ask us to change it when someone who knew it leaves the practice
Email [email protected] and we will change it and send you the new one, usually the same working day. We describe exactly how sign-in works, and its limitations, on our security and service information page.
You are responsible for what is done on your website by anyone using your password. If you think it has been shared beyond your practice, tell us and we will change it.
4.Your content and your responsibilities
Everything you put on your website stays yours. You give us permission to store, publish and back it up so we can run the service, and nothing more. We do not sell it, mine it, or use it to train anything.
You agree that:
- You have the right to publish what you upload, including photographs of staff and any logos
- You will keep the site accurate, and review it at least once a year as your contract requires
- You will not put patient identifiable information on the website. It is a public site. Nothing on it should identify a patient
- You remain the public sector body responsible for your website's accessibility. Government guidance is explicit that this responsibility does not move to a supplier
- You will not use the site to publish anything unlawful, misleading or discriminatory
We do not review or moderate your content before it goes live. Editing is instant and it goes straight out to patients.
5.Price, payment and renewal
£199 a year for one practice website. No setup fee, and no VAT to add.
Payment is by card through Stripe, who handle the payment details. We never see or store your card number. The subscription renews automatically each year at the price then published, and we will tell you by email at least 30 days before any increase applies to you.
If a renewal payment fails, Stripe retries it and we email you. If it is still unpaid after those retries, we may suspend the website until it is settled. We will always email you before a site is suspended.
6.Cancelling and refunds
There is no minimum term and no notice period. Email us and we will cancel your subscription.
- Within 30 days of your first payment, tell us it is not for you and we will refund it in full.
- After that, cancellation stops the next renewal. Your website keeps running until the end of the year you have paid for, and we do not refund part of a year.
Before you go, download your content from Advanced settings in the admin panel. That file is everything you have written, and it can be loaded straight into your own deployment of the free template. We will keep your data for 30 days after your service ends in case you need it again, then delete it.
If you want to keep the site running yourself, say so and we will help you point your domain at your own deployment. We will not hold your domain, your content or your code hostage.
7.Availability and support
We aim for the website to be available all the time, and it is built so that most failures degrade rather than break: if the NHS news feed is unreachable, the rest of the page still serves; if our storage is unreachable, the site falls back to its last known content.
We do not offer a contractual uptime guarantee or service credits at this price. We are honest about that rather than promising a number we have no way to enforce against our own suppliers. What we do commit to is telling you what is happening when something goes wrong.
Support is by email, answered the same working day Monday to Friday, excluding bank holidays. There is no telephone support and no out of hours service. Urgent patient facing problems, such as a site being unreachable, are worked on as soon as we see them.
We may take the service down briefly for maintenance. Where we can plan it, we do it outside practice hours.
8.When we can suspend or end the service
We may suspend your website if:
- A renewal payment remains unpaid after Stripe's retries
- We are required to by law, or by a court or regulator
- The content breaks the responsibilities set out above, and you have not fixed it after we asked
Except where the law requires otherwise, we will email you first and give you a reasonable chance to put it right.
A suspended site does not disappear or show an error. Patients see a short notice explaining that the surgery itself is unaffected and that they should phone as usual, alongside signposting to 999, NHS 111 and a pharmacist. Your content is untouched and comes straight back when the account is settled.
We may end the agreement by giving you 90 days' notice, and would refund the unused part of your year if we did. That is long enough to move to your own hosting or another supplier, and we would help you do it.
9.Intellectual property
The Simple Surgery template is published under the MIT licence. You may copy, change and host it yourself, for your practice or anyone else's, free of charge and without asking us.
Your content, your logo and your photographs remain yours. Our name and branding remain ours.
The NHS logo and the NHS identity belong to the Department of Health and Social Care. Practice websites display them because the practice is an NHS service in its own right, subject to the NHS identity guidelines. We are an independent supplier and are not affiliated with, endorsed by or supplied by NHS England.
10.Liability
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law.
Subject to that, our total liability to you in any 12 month period is limited to the fees you paid us in that period.
We are not liable for:
- Loss arising from content you published, or failed to publish
- A finding by the CQC, an ICB, the ICO or any other body about your practice's compliance
- Failures of services we do not control, including your domain registrar and your internet connection
- Loss of profits, contracts or anticipated savings
This reflects what you pay. If your practice needs contractual assurances beyond this, tell us before you buy and we will talk about it rather than have you find out later.
11.Changes to these terms
We may change these terms. If a change materially affects you, we will email you at least 30 days beforehand. If you do not accept it, cancel before it takes effect and we will refund the unused part of your year.
The date at the top of this page is when it last changed.
12.Complaints, law and jurisdiction
If something has gone wrong, email [email protected] with "Complaint" in the subject. We will acknowledge it within two working days and give you a full reply within ten.
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
This is a business to business agreement, so the consumer rights that apply to individuals buying online do not apply to it. The 30 day refund above is our own commitment rather than a statutory one.
